Corporate Office & Community Associate (m/w/d)

Job Summary

We have an exciting opportunity to join our Corporate Real Estate team, supporting our new office in Frankfurt! The CRE Associate will be a main point of contact for every level of employee and visitors alike and have you managing daily office operations to ensure things runs smoothly.

This role is highly visible and will be responsible for various tasks including vendor and contractor coordination, event planning, health and safety actions, and occasional front of house duties, so we’re looking for someone who is confident in their judgement, can think on their feet and work as a part of a wider team as a skilled specialist.

Responsibilities

Property Assistance Coordination

  • Performs and maintains regular property inspections to proactively maintain the appearance of the office and assists with repairs and tenant improvements
  • Develops and monitors budgets, contracts, and change orders
  • Tracks spending and implements cost savings initiatives
  • Communicates and coordinates with property assistance on various issues such as building maintenance and security, safety (smoke detectors, sprinkler system, emergency lighting), and Heating,
  • Potential responsibility in the future to support up to three offices remotely, including moving of staff, reconfiguring offices and cubicles, office repairs and equipment moves
  • Concierge and Facilitation

  • Lead for conference centre room booking and set up
  • Managing room meeting room bookings
  • Occasional front of house duties
  • Operations & Projects

  • Oversees ergonomic assessments and ensures proper desk setups
  • Identifies and suggests improvements to processes, systems and overall client satisfaction
  • Participates and supports Corporate Real Estate Manager with tasks
  • Maintains CAFM system (Office space) that tracks the occupancy of staff, hoteling and work order request
  • Supervises daily sorting, pickups and deliveries of all external and inter-office mail and ensures employee support on all mail and shipping requirements
  • Manages multiple complex projects that extend beyond office moves
  • Independently plans, organizes and manages project budgets
  • Vendor Assistance

  • Supervises contractors for maintenance and improvements including electrical, audio/visual, security, cabling, janitorial, plumbing, utilities, and HVAC
  • Provides direction and information to vendors, service providers and Corporate Real Estate staff as required to ensure excellent coordination and execution of work with minimal disruption
  • Creates monthly tracking metric and reports for vendors, and day to day cost associated with budget
  • Business Continuity

  • Works with the safety team lead to ensure annual fire drills, safety awareness, emergency supplies and regular safety training
  • May act as lead in maintaining emergency supplies and life and safety evacuation process
  • Ventilation and Air Conditioning (HVAC) needs

  • Ensures adherence to facility-specific cost savings targets to contribute to the account achieving significant savings
  • Ensures 100% adherence to guidelines and policies
  • Supports the Corporate Real Estate Manager by leading small construction projects and space planning efforts
  • Qualifications & Experience

  • Experience in facility or office management preferred
  • Bachelor's degree in Business Management preferred
  • Fluent Verbal and Written German and English languages required
  • Health and Safety qualifications / experience
